Windows Print Scout Overview

Collected Data

The Print Scout collects the following data about each print job:

  • Date/Time
  • Job Size (kB)
  • Number of Pages
  • Number of Sheets
  • Number of Copies
  • Paper Size
  • Originals (e.g. when a job consists of multiple copies of a document, this is the number of pages in the original document.)
  • Finishing Options (includes one-sided/two-sided, stapling, tray).
  • Print Path (includes printer name, port name, share name, and server share name).
  • The network ID of the job owner
  • Application Name (e.g. Word, Excel)
  • Transaction Type (direct job or secure job) - available only if you have Secure Print license
  • Document Name
  • The Print Scout also records the Network Name, Operating System, and Service Pack Level of each machine on which it is installed.

Installed Components

The Windows Print Scout deploys the following on user's workstations:

  • Installs a queue named HP Secure Printer.
    • Starting with Print Scout 8.0, when Windows Protected Print is enabled, the HP Secure Printer uses the Microsoft IPP driver. If WPP is disabled, it defaults to the HP manufacturer driver.
    • For Windows on Arm, the HP Secure Printer will always use the Microsoft IPP driver.
  • Installs two services :
    • Print Scout Spooler Service which handles Secure Print printing services.
    • Print Scout Service which is responsible for print tracking and related features.
  • Installs the HP Secure Print desktop app that allows users to:
    • View documents waiting to print
    • Delete documents that they no longer need
    • View activity history
    • Reset PIN code
    • Reset Passcode
    • Offers Secure Print Failover (Offline Print). Available only if enabled
    • Offers Secure Print Direct (if licensed for Secure Print Direct). This feature is in preview mode.
    • Offers Delegate Print

Known Issues

  • In Cloud Release, advanced finishing options such as stapling, punching, binding, etc. are not applied when a print job is submitted via the IPP Secure queue.

  • Windows Spooler crash with Secure Print Direct and Secure Print Using HP Universal Print Driver 7.1.0. The Windows Spooler service crashes after printing direct or secure print jobs using the HP Universal Print Driver (UPD) version 7.1.0, regardless of the delivery service in use (Windows Print Spooler or HP Secure Print Service). To avoid this issue, HP strongly recommends upgrading to HP Universal Print Driver version 7.3.0.

    • Secure Print - Upgrade to the latest version of Print Scout. This will automatically update the secure queue to use the HP Universal Print Driver v7.3.

    • Secure Print Direct- Manually change the print driver on the queue to HP Universal Print Driver v7.3. You can update the driver for any affected Direct Print queue by navigating to the Direct > Direct Printers > Print Queues tab of the web console then updating the Driver (under Queue Properties) and reinstalling the queue in Print Scout. Auto-install queues will automatically receive the updated driver during the nightly update. However, manual-install queues must be deleted and reinstalled for the changes to take effect.

    Note: User workstations must be restarted first to recover from the spooler crash.
